Our client is an international investment group with more than €10 billion in assets under management, operating through a well-established Luxembourg platform and an international presence. Despite the scale of its activities, the Luxembourg office has maintained a human-sized and stable environment, where employees benefit from direct communication with management and a high degree of autonomy in their day-to-day responsibilities.

The company manages both Alternative Investment Funds and UCITS and has developed an integrated organisation in which Fund Operations works closely with Legal, Compliance, Finance and external service providers. The position therefore offers broader exposure than a traditional fund administration role, combining fund operations, investor servicing, governance, transfer agency and oversight responsibilities across internally managed and externally administered structures.

The working environment is another strong differentiator. Employee turnover is particularly low, with several team members having remained within the organisation for many years. To strengthen its Luxembourg operations, the company is now looking for a Senior Fund Operations Officer with approximately eight to ten years of experience, capable of taking ownership of complex operational matters and acting as a central point of coordination between internal teams, investors and external service providers.

Your Responsibilities | Fund Operations – Investor Services – Oversight – AIF/UCIT

• Take ownership of the day-to-day operational management of investment funds, covering recurring activities as well as more complex or ad hoc events.
• Coordinate fund launches, restructurings, mergers, liquidations and other significant operational events.
• Manage investor-related activities including subscriptions, redemptions, transfers and investor communications.
• Coordinate investor onboarding, periodic reviews and KYC/AML documentation together with Compliance and other internal stakeholders.
• Maintain accurate investor registers, corporate records and supporting documentation.
• Review operational and regulatory deliverables and ensure consistency with fund documentation and internal procedures.
• Act as a key contact for external administrators, depositaries, auditors, banks, legal advisers and other service providers.
• Monitor the quality and timeliness of services delivered by external administrators and follow up on outstanding issues.
• Support board and committee processes and contribute to the preparation of relevant operational and governance documentation.
• Coordinate audit and depositary requests and ensure that action points are followed through to completion.
• Maintain operational calendars, controls, procedures and internal checklists.
• Identify areas where processes can be simplified, standardised or automated, while strengthening the overall control framework.
  
  

Profile and Career Path | Fund Operations – Investor Services – Oversight – AIF/UCIT

• You have at least 6 years of relevant experience in Luxembourg fund operations, fund administration, transfer agency or investor services.
• You have developed solid knowledge of Luxembourg investment funds, AIFs and ideally Evergreen or open-ended structures.
• You have practical experience with investor onboarding, Transfer Agency and KYC/AML processes.
• You are comfortable reviewing operational deliverables and challenging external service providers when necessary.
• You have a strong understanding of operational controls and are capable of documenting and improving procedures.
• You can manage multiple deadlines relating to audits, investors, governance and regulatory matters simultaneously.
• You are comfortable acting as a main point of contact for internal stakeholders, investors, administrators, auditors and advisers.
• You combine technical accuracy with sound judgement and the ability to resolve operational issues independently.
• You are fluent in English; any additional European language will be considered an advantage.
